Job Summary:

The Front Office Executive is responsible for managing the front desk, handling a variety of administrative and clerical tasks, and providing excellent customer service to visitors, clients, and employees. The primary goal is to create a positive and welcoming first impression for anyone entering the premises.

Job Responsibilities:

  • Greeting and assisting visitors in a professional and friendly manner.
  • Answering phones and forwarding calls to the corresponding departments.
  • Scheduling and confirming appointments, meetings, and events.
  • Employee Dashboard Maintaining and communicating the same to HR on daily basis.
  • Contract Employee Attendance Maintenance.
  • Organising & performing an inventory of office supplies and order of need.
  • General office upkeep by managing the front desk clean, tidy, and supplied with all the necessary supplies.
  • Organizing monthly Team Lunch, Daily Evening Supper, and Refreshments.
  • Coordinating with Building Maintenance team for maintenance related activities.
  • Scheduling and coordinating with travel arrangements like flight tickets and other hospitalities.
  • External Vehicle arrangements for official trips.
  • Import & Export documentation and coordinating with transporter.

Location and Commitments:

  • Permanent full-time role based at Chennai office Monday – Friday
  • Weekend work is rare but can occasionally be necessary.

Qualifications and Skills:

  • Diploma or under graduation; additional qualifications in administration or related field is a plus.
  • Proven experience as a Front Office Executive or similar role.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to handle multiple tasks and prioritize effectively.
  • Strong organizational and time-management skills.
  • Professional appearance and demeanor.
  • Knowledge of office equipment (e.g., phone systems, printers, etc.).
